Job Description:
We are seeking a detail-oriented, proactive, and experienced Bookkeeper & Administrative Support Specialist to join our team. In this dynamic role, you will be responsible for managing accounting and administrative functions, overseeing vendor pricing evaluations, ensuring timely renewal of permits and licenses, and assisting with profit and law statement preparations. You will also play an integral part in maintaining efficient operations and supporting our team’s growth.
Key Responsibilities:
- Bookkeeping & Financial Management:
- Record daily financial transactions, ensuring accuracy and compliance with company standards.
- Prepare financial statements, including balance sheets, profit and loss (P&L) statements, and cash flow reports.
- Reconcile bank accounts, credit card statements, and other financial records.
- Assist in month-end and year-end closing processes.
- QuickBooks Expertise:
- Manage accounts payable and receivable within QuickBooks.
- Create and update QuickBooks reports, ensuring accurate tracking of financial data.
- Assist with tax preparation.
- Administrative Support:
- Assist in general office management, including managing office supplies and administrative tasks.
- Serve as the point of contact for vendors, clients, and other stakeholders.
- Vendor Price Evaluation & Price Control:
- Conduct regular evaluations of vendor pricing to ensure competitive rates and cost savings for the company.
- Track and update price changes, ensuring they are reflected in the company’s financial reports and pricing systems.
- Managing Permits & Licenses:
- Monitor and ensure the timely renewal of all required business permits, licenses, and certifications.
- Keep detailed records of renewal deadlines and compliance requirements.
- Profit & Loss Statement Preparation:
- Prepare monthly, quarterly, and annual P&L statements.
- Provide analysis on financial trends and recommend improvements to maximize profitability.
Qualifications:
- Proven experience as a Bookkeeper or in a similar administrative role, with at least 3 years of relevant experience.
- Strong proficiency in QuickBooks and Microsoft Office Suite (Excel, Word).
- Experience in vendor price evaluation, cost control, and financial analysis.
- Strong knowledge of accounting principles and financial regulations.
- Ability to prepare and analyze financial statements, including P&L and balance sheets.
- Experience with managing permits, licenses, or regulatory compliance is a plus.
- Detail-oriented with excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
